Summary

Royal Surrey Foundation Trust, based in Guildford constitutes of 520 beds and offers a range of clinical services. LCMB worked with the trust to mobilise a new contract for the Hard FM services, bringing added value and improved performance for the estate.

The Trust’s Hard FM contract was due for renewal, and they wanted to ensure they had the best value when agreeing a new contract and supplier. LCMB worked with the Trust to scope the requirements, re-write the contract specification, and manage the process from start to finish.

  • Conduct in-depth due diligence including a review of current contract performance and experience
  • Establish the Trusts key requirements, objectives and expectations for the contract going forward
  • Work closely with the Trust to develop contract allotment options
  • Prepare questions for the PPQ and/ITT
  • Rewrite specifications and contract in order to bring added value to the contract
  • Prepare documents related to the tender
  • Run tender on behalf of the Trust
  • Review responses and mobilise new contract

Challenges and Achievements

Running a tender is a lengthy process, there were tight deadline to ensure the new contract was mobilised on time. The asset records provided from the incumbent provider were lacking key information and as a result, a full asset verification survey was conducted in order to generate missing data.

Despite a series of challenges, LCMB worked collaboratively with the Trust to award the new provider the contract, mobilise and embed improved performance across the estate.
